Service Appreciation Awards

The University recognizes and expresses appreciation for the long-term service of permanent SPA and EPA Non-Faculty employees, both full-time and part-time (regularly scheduled to work 20 or more hours each week). Eligibility for awards is determined by an employee's Total State Service according to the University's fiscal year, July 1 through June 30. The program currently recognizes employee service at five-year intervals, beginning with five years and ending with fifty years of service.

5-Year Award - To recognize five years of Total State Service, the department head sends a letter to the employee expressing the University's appreciation for the employee's service. The letter is presented by the employee's supervisor on or near the employee's anniversary date.

10-Year Award - A framed certificate bearing the employee's name and years of service, imprinted with the signatures of the Chancellor and the Associate Vice Chancellor for Human Resources, is awarded for 10 years of Total State Service. Along with the certificate, the employee receives a personal letter from the Office of Human Resources expressing the University's appreciation for the employee's years of service. The certificate and letter are presented by the department head on or near the employee's anniversary date in an appropriate departmental ceremony.

15-Year Award - A silver and enamel pin or tie tack bearing the University seal and years of service is given in recognition of 15 years of Total State Service. A personal letter from the Office of Human Resources expressing the University's appreciation for the employee's fifteen years of service accompanies the jewelry. The jewelry and letter are presented by the department head on or near the employee's anniversary date at an appropriate departmental ceremony.

20-Year Award - An employee with 20 years of Total State Service receives an invitation to attend, with a guest, the annual Service Appreciation Banquet in the fiscal year in which the anniversary occurs. At the banquet, the employee is presented a personalized engraved plaque and is inducted into the Carolina 20-Year Society. (For honorees unable to attend the Banquet, plaques and letters from the Employee Services Department are delivered to the employees' departments.)

Additional Service Awards - After the awards for 20 years of Total State Service, employees are recognized each five years (i.e., at 25, 30, 35, etc.). They receive an invitation to attend, with a guest, the annual Service Appreciation Banquet in the fiscal year in which the anniversary occurs, and are individually recognized at the banquet.

Distribution Procedures

5, 10, 15 Year Awards - During the Spring of each year, the Employee Services Department generates a list of employees who will reach their 5, 10, or 15 year service dates in the upcoming fiscal year.  Employee Services sends this list to the HR Facilitators in each department to confirm the correct service dates, department affiliation, and spelling of the awardees' names.  After receiving eligibility verification, the Employee Services Department purchases the appropriate number of awards.  Department representatives will be informed when the service awards are ready for pick-up at the beginning of the new fiscal year.

Departments receive the 5, 10, and 15 year awards in July for the entire fiscal year, to be distributed to each employee during the fiscal year on or near the employee's anniversary date.  Department HR Facilitators should contact the Employee Services Department in the event an eligible employee enters or leaves the department prior to his/her anniversary date.

20, 25, 30, 35, 40, 45, 50 Year Awards - During the Winter of each year, the Employee Services Department generates a list of employees who have reached their 20, 25, 30, 35, 40, 45, and 50 year service dates in the current fiscal year.  Employee Services sends this list to the HR Facilitators in each department to confirm the correct service dates, department affiliation, and spelling of the awardees' names.  After receiving eligibility verification, the Employee Services Department purchases the appropriate number of awards and coordinates invitations and arrangements for the Service Appreciation Banquet, to be held that spring.
