Annual Raise Process (ARP) and the EPAWeb

CONTENTS

Purpose

The purpose of this document is to identify EPAWeb actions that are and are not allowable during the Annual Raise Process (ARP), the mechanism for awarding salary increases to permanent EPA faculty and non-faculty employees.


Allowable EPAWeb Actions

The following EPAWeb actions may be processed with no restrictions at any time:

  • All temporary employees may be processed with any EPAWeb action
  • All student employees may be processed with any EPAWeb action
  • All New Employment EPAWeb actions may be processed
  • End of employment
  • Appointment date change
  • Demographic change
  • Lump sum payment
  • Rank correction
  • SSN change

EPAWeb Actions Effective Prior to July 1 or on July 1

Allowed:

Any EPAWeb Salary/FTE Action or EPAWeb Salary Distribution Action effective prior to July 1 or on July 1 and completely processed by July 20 will be part of the ARP data load.  These actions will be reflected on the employee annual raise screen on the ARP.

Not Allowed:

Any EPAWeb Salary/FTE Action or EPAWeb Salary Distribution Action effective July 1 but not submitted by July 15 should be disapproved with a note that the action should be completed on the ARP retroactive to July 1.

Any EPAWeb Salary/FTE Action or EPAWeb Salary Distribution Action effective July 1 but not completely processed by July 20 should be disapproved with a note that the action should be completed on the ARP retroactive to July 1.


EPAWeb Actions Effective Prior to July 1(But Are Imcomplete)

Any EPAWeb Salary/FTE Action or EPAWeb Salary Distribution Action effective prior to July 1 but not completely processed by July 20 will be handled as follows:

  • Payroll Department will process salary source journal entries for actions effective through June 30.
  • Salary amount and salary source actions should be entered by the campus unit on the employee annual raise screen on the ARP retroactive to July 1.
  • Amounts should reflect June 30 salary base plus any salary adjustments.
  • Possible actions include:
    • Department Transfer
    • Extension
    • Ext Salary Distribution
    • Ext. Secondary Appointment
    • Promotion
    • Salary Distribution
    • Reappointment
    • Secondary Appointments
    • Student Reappointment
    • End of Employment (equivalent to setting a salary to zero)
    • Job Change
    • Leave of Absence with partial pay
    • Leave of Absence with no pay
    • Return from leave
    • Salary/FTE Change

EPAWeb Actions Effective After the First Day of the Month

All EPAWeb salary distribution actions with an effective date after the first day of the month in a month prior to ARP implementation should be disapproved.  These actions should be initiated after ARP is completed.


Retro Processing

All EPAWeb salary distribution actions that are completely processed in August with an effective date of August 1 will be available for retro processing on the ARP.

All EPAWeb salary distribution actions that are completely processed in September with an effective date of September 1 will be available for retro processing on the ARP.

EPAWeb Salary/FTE actions are not available for retro processing regardless of dates.  For any Salary/FTE change effective after July 1, the system will apply the base/supplement in the Salary/FTE action as of the effective date.    This means you could inadvertently return someone's base/supplement to pre-raise levels when the ARP is implemented retroactive to July 1.

There are two options for EPAWeb Salary/FTE actions effective July 2 - September 30:

  • Complete the EPAWeb Salary/FTE action with any ARP adjustment to salary base/supplement/FTE reflected on the EPAWeb action

OR

  • Given that the ARP will revert to the salary base/supplement/FTE status prior to the EPAWeb Salary/FTE action, complete an EPAWeb Salary/FTE action after ARP is implemented and payroll distribution including the ARP is completed thus superseding the ARP.
