Less than Full-Time Work Schedules

CONTENTS

Initial Appointments

All tenure-track and tenured faculty appointments are expected to be full-time (1.0 FTE) appointments unless specific circumstance in the interests of the appointing department and the University dictate otherwise. 

Section 2.c.(6) the University's Tenure Code sets forth general expectations about faculty appointments as follows:

"Except as may be otherwise expressly provided in the documents of appointment, all appointments to any faculty rank are on the basis of a full-time employment obligation and confer the full incidents of academic tenure pertinent to the particular appointment. Any special terms and conditions shall be clearly stated in the written appointment. Special terms and conditions added by memorandum of amendment must be approved by signature of the Chancellor (or his or her delegate) and the faculty member, with a copy to be retained by each. Except as herein provided, no special terms or conditions may be included which vary the general terms and conditions stated herein. The responsibility for initiating the inclusion of special terms and conditions in documents of appointment is with the chairman or dean recommending the appointment."

The following procedures apply to initiating a tenure track or tenured initial appointment, reappointment, or promotion at a level less than full-time, or converting an existing full-time appointment to less than full-time: 

  • The University will permit a tenure-track or tenured appointment under special circumstances of less than full-time (1.0 FTE) but not less than 3/4 time (.75 FTE) to assure continued full benefits eligibility. Note that for 12-month leave earning faculty, less than full-time status results in reduced annual and sick leave earnings pro-rated based on the part-time work schedule. 
  • If a less than full-time appointment is deemed by the Department Chair to be necessary and in the best interests of the Department and the University, a request for a reduced work schedule may be made in writing to the Dean. 
  • The memo making this request should include the specific reasons for seeking a less than full-time work schedule and adequate assurances by the Chair that this arrangement is compatible with the faculty member fully achieving all of the duties and responsibilities appropriate for someone of the proposed rank and status. This memo must be endorsed under the signature of the Dean before being forwarded to Academic Personnel in the Office of the Provost.
  • Requests approved by the Dean should be forwarded to Academic Personnel [CB #8000] for approval. Approved requests are then forwarded to the Chancellor who provides final approval of the implementing personnel action.

Deanshave discretion as to whether they will permit less than full-time tenure-track or tenured appointments within their School. There is no University-wide requirement that such opportunities be offered or approved at the School-level.

Note: These guidelines were reviewed and approved by the Executive Associate Provost in the Office of the Executive Vice Chancellor and Provost on February 23, 2007. 


Reduced FTE for Specified Period of Time

The University may allow a reduced work schedule in certain circumstances as described in the following Tenure Regulations (effective July 1, 2004), Sec. 2.c.ii:

Special terms for less than full-time employment with commensurate compensation, or for relief from all employment obligations for a specified period, may be included in an appointment or reappointment to any faculty rank, or may be added by written memorandum of amendment during the term of an appointment. For reasons of health, requirements of childbirth or child care, or similar compelling circumstances, such terms may, with the concurrence of the faculty member, include extensions of the period of a current probationary term of appointment at the rank of assistant professor or associate professor, and thereby the maximum probationary period, to coincide with the extent and duration of the relief from employment obligations. Extensions under this subsection (ii) may be granted in increments not to exceed 12 months, up to a maximum of 24 months (including any extensions that may have been granted under subsection (iii), below). [Amended May 20, 2004]

A reduced FTE can only be granted on a year-to-year basis, not to exceed three years.  The faculty member will need to be counseled by the department chair in consultation with the Benefits Office as to the effect a reduced FTE will have on benefits.  The approved request will result in the initiation of a revised appointment letter from the Chancellor's Office to the faculty member.


Documents Required

The following documents are required for requesting a reduced FTE for a specified period of time:

  • letter from the faculty member making request
  • supporting letter from the department chair endorsed by the dean
    • letter should include statement indicating faculty member understands that salary, benefits and leave earnings will be affected
    • faculty member signs letter
    • attach signed letter to EPAWeb action
