Making Up Adverse Weather - Working Extra Hours (Offset by Holiday or Leave)
Jane coded 16 hours of Adverse Weather leave on 02-15 and 02-16. The University did not close during those days, so Jane has to make up the time.
Because Jane is an SPA non-exempt employee, she cannot use hours worked in excess of 40 in a work week to make up adverse weather time (that would put her in an overtime situation). Therefore, Jane has to use leave or compensatory time off, or work more hours is a week in which she did not work a full 40 hours. She could do this during a week with a holiday or a week in which she was otherwise unable to work during her regularly scheduled hours due to paid leave or other non-work time.
For example, let's say in April, Jane has a doctor's appointment on Monday, April 10 that takes 3 hours in the afternoon. Jane decides to work (with supervisor pre-approval) an extra hour on Tuesday, Wednesday, and Thursday of that week to make up adverse weather leave. In the following week, Good Friday occurs, so Jane will receive holiday leave for that day and only be scheduled actually to work 32 hours (and receive 8 hours holiday). She again works an extra hour each day on Tuesday, Wednesday, and Thursday in that week to make up her adverse weather time. These extra hours do not put her over 40 hours actually worked (not coded) for the work week, so this is acceptable.
Jane's timesheet would look like this.
| Date | NSPP | CSPP | Coded | Code | | Date | NSPP | CSPP | Coded | Code |

Comments:
Additional 1 hour worked each day 4/11, 4/12, 4/13, 4/18, 4/19, 4/20 (6 hrs total) to make up AW leave used on 02-15-2003.
10 hrs of AW leave remaining to be made up by 02-16-2004. |
Each department is responsible for monitoring the adverse weather and leave balances of its employees.
If an employee does not have enough leave to make up their adverse weather time, remember that the employee has 12 months. Otherwise, the employee would have to code leave without pay for the time.
