Sample Letter - 30-Day Notice of Layoff

Dear (Employee):
This letter is to confirm the oral notification of your layoff effective (month, date, year). The specific reason for your layoff is (give reason).
You will be contacted by the Office of Human Resources to schedule a layoff interview. The interview will include a review of your options in accepting layoff priority consideration, a review of your benefits and how they are affected by layoff, your eligibility for layoff severance pay and services offered to you through other departments within OHR. You will have the opportunity to ask any questions to each area of expertise.
Please accept my appreciation for the contribution you have made to this department and the University since you began University service on (entry-on-duty date). I would also like to extend my best wishes to you for the future.*
You have the right to appeal this involuntary separation under the University's Dispute Resolution and Staff Grievance Procedure. A copy of the Procedure is enclosed. If you have questions about your appeal rights, you may call Employee & Management Relations at 843-8676.

PLEASE NOTE: If the layoff is with a Department within the School of Medicine, you must send a copy of this notification letter to the Dean's Office.
