Work Day End Time Change on Oct. 22, 2009

On Thursday, Oct. 22, the Carolina Tar Heels will host the Florida State Seminoles for a nationally televised football game at Kenan Stadium, starting at 8 p.m. This Thursday night game, which will occur during students' Fall Break, is expected to attract a large crowd of fans on campus, beginning as early as 4 p.m. As a result, the University will alter the time at which the work day ends to allow all University employees ample time to leave campus and avoid the expected traffic congestion. A separate communication from the Department of Public Safety will address specific parking plans and arrangements for this date.

On Oct. 22, the regular work day hours will be changed from 8-5 p.m. to 8-3 p.m. By moving the end of the work day to 3 p.m. on this day, we anticipate that those leaving campus at that hour should encounter significantly less inconvenience.

Employees who cannot work their regularly scheduled hours on Oct. 22 because of the workday schedule change must make up or code leave for those hours. Several options will allow employees to be paid for these hours without undue hardship. We advise managers to be as flexible as possible in allowing employees to use the following:

-- Employees can work the additional hours during that week, with management's approval, by either coming in early, staying late, working a reduced lunch break or some combination of the above on the other four days in that same workweek (Oct. 19, 20, 21 and 23).

-- Employees can use available flexible furlough hours to cover the leave.

-- Employees can use any accrued compensatory time, or available vacation or bonus leave, to cover the hours if they prefer.

Please be advised that the University will not provide any additional compensation or equal time off for employees who are required to work after 3 p.m. on Oct. 22 for a specific business reason as directed by management.

Second-shift employees should not be affected by this change in the work day end time unless otherwise notified by management. The football game will not require any changes to the schedules of third-shift employees.

Facilities Services employees will receive separate notification regarding work arrangements for this day.
