Subject: Reminder on EPAWeb Document Attachment Guidelines
** This notice is relevant only to those who prepare or approve personnel actions in EPAWeb. Others may disregard. **
I wanted to take this opportunity to remind those who may prepare or approve EPAWeb Personnel actions that as of January 1, 2008, neither EPA Non-Faculty Human Resources in OHR or Academic Personnel in the Provost's Office will accept hardcopy supporting documentation for EPA personnel or position actions. This applies to actions which are prepared as of that date or later. Actions submitted earlier with a 1/1/08 or later effective date are not affected by this change. There are several exceptions:
1) Leave Requests which contain or refer to employee medical information
2) Criminal conviction check results which contain prior charges or convictions
3) Faculty dossiers and appointment information including AP-2 forms for all tenure track and tenure faculty appointments which come forward to the Office of the Provost and then the Office of the Chancellor for review by HSAC or APT.
4) EPAWeb Advance Transmittal Forms and supporting information for actions which require advance processing prior to being able to be entered in EPAWeb.

Please pay particular attention to the fact that any document attachments may be attached only in either PDF or TIFF format. Word, Excel, or other document formats will not be accepted and will result in your action being returned. This applies to both EPAWeb employee and position actions. So if you are already using document attachment, please assure you are using these two file formats only.
As we come closer to January 1st, please take the opportunity to review the above information and the guidelines document referenced above. Thanks in advance for your assistance as we take this step towards further reducing the use of paper transmittals.
