Sick Leave

University employees can take sick leave for illness, injury or death of an immediate family member. See the Sick Leave policy for complete details.

Sick Leave is earned on a monthly basis. The monthly earnings amount is equal to one-twelfth of the annual leave accrual rate for each month the employee works or is on an approved leave with pay at least half the working days of the month.

  • The following permanent full-time employees who work 40 hours per week earn 96 hours of Sick Leave annually / 8 hours per month on a calendar-year basis:
    • SHRA employees (permanent, probationary, and time-limited)
    • EHRA Non-Faculty employees including Senior Academic and Administrative Officers such as the Chancellor, Provost, Deans and Directors of major centers
    • Twelve-month Faculty
  • Prorated for employees who work 20-39 hours per week.
  • Nine-month Faculty members do NOT earn Sick Leave. Nine-month faculty are eligible for paid Faculty Serious Illness and Parental Leave.
Sick Leave may be used by an employee for:

  • Recovery from personal illness, injury, or disability that prevents the performance of usual duties.
  • Illness or injury of a member of an employee’s immediate family or other dependents living in the household.
  • Temporary disability associated with childbirth.
  • Adoption of a child (limited to a maximum of 240 hours (30 days) for each parent).
  • Medical or dental appointments for the employee or members of the immediate family.
  • Donations to a member of the immediate family who is approved to receive Voluntary Shared Leave.
  • Death of a member of an employee’s immediate family or of other dependents who lived in the employee’s household.

Immediate family for Bereavement Leave follows the definition used in the Sick Leave policy and includes:

  • Spouse
  • Parent (biological, adoptive, or person who stood-in as “parent”)
  • Child (biological, adopted, legal ward, foster care, or person for whom employee stands-in as “parent”)
  • Grandparent and great-grandparent
  • Grandchild and great-grandchild
  • Sibling (biological or adoptive)
  • Step-, half-, and in-law relation of the above
  • Other dependent within the household
  • Manager approval required prior to use.
  • Upon using requested leave hours, enter leave hours in TIM in ConnectCarolina Self Service on the corresponding timesheet.
Unused Sick Leave accrues and carries forward from year to year on an unlimited basis.

You can view your leave accrual balances in TIM on your timecard in ConnectCarolina Self Service.

Separation & Transfer

  • Upon separation from the University, unused Sick Leave is NOT paid out.
  • If an employee receives a new appointment within the University: All Sick Leave is retained.
  • If an employee transfers to an eligible EHRA or SHRA position at another UNC System institution or State of North Carolina agency: All of an employee’s Sick Leave balance will transfer.
  • Upon retirement: Employees enrolled in TSERS may use unused Sick Leave as additional TSERS service time. ORP participants do not receive any credit for unused Sick Leave.
  • Employees may donate Sick Leave and forfeited Sick Leave to employees who have been approved to receive donations under the University’s Voluntary Shared Leave Program.

Reinstatement
Unused Sick Leave is restored to an employee’s leave record when:

  • The employee is reinstated to state of North Carolina service within five years of any type of separation.
  • The employee returns from an approved period of leave without pay.

If Sick Leave is used for TSERS retirement, the Sick Leave is forfeited.
